TidyAcc · Subcontractors

Know what each subcontract package earns.

For electrical, plumbing, ACMV, carpentry and other specialist teams, keep the money attached to the package you deliver.

Several packages, one small team

A subcontractor may work for different main contractors while buying from the same suppliers and sharing labour across sites. The same invoice total can cover packages with very different cost profiles.

A useful project record distinguishes the customer, work package, agreed scope, changes and costs. That makes it easier to review each package rather than relying on a company-wide balance.

What to keep with each package

  • The quotation or agreed scope and price.
  • Variation orders and supporting change records.
  • Materials bought or allocated to the work.
  • Labour and specialist subcontractor costs.
  • Invoices, credit notes and collected payments.

TidyAcc links quotations, variations, bills, expenses and invoices to projects. Discuss how you want to identify packages and allocate shared costs before moving your records.

Margin and collection are different checks

An electrical package may have a reasonable margin but a large unpaid balance. Another package may be fully paid while still carrying an outstanding supplier bill. Review profit and collection separately.

The project profit guide explains that difference using a worked example. It also shows why overheads and unentered costs need attention before you treat a project’s result as final.

Progress claims and retention need confirmation

Some subcontract packages depend on claims, certification or retention. Progress claims and retention are coming soon. Confirm the current release before selecting TidyAcc for those requirements.

Bring an example package and the documents you actually exchange with your main contractor. Review invoice presentation, project costs and permissions with the people who will use the system.

Malaysian subcontractors should also check local currency, payment and e-invoicing requirements. Local suitability is not yet confirmed.

Start with your own workflow.

One quotation, one bill and one invoice are a useful starting point for a product discussion.
